> Receive export cargo bookings from customers and request export approval from partner companies for confirmation.
> Create Job Files in the data management system (E-Cargo System).
> Book cargo space and ensure successful confirmation from local co-loaders, shipping lines, or airlines according to the cargo’s destination.
> Request a Draft Bill of Lading (Draft BL) and VGM (Verified Gross Mass) after the cargo is successfully stuffed into containers, and send the BL to customers for review and approval within the deadline.
> Send ISF (Import Security Filing) data to partners for filing regarding export shipments to the USA.
> Input AMS / ACI / AFR data into the data transmission system for customs management for all shipments exported to the USA, Canada, and Japan.
> Confirm shipping conditions (shipping term, freight term, profit share, etc.) on the Bill of Lading and Quote, then forward them to the Accounting Department to issue Invoices to customers or Debit Notes to partners.
> Follow up and collect Invoices/Debit Notes from suppliers to prepare for the Accounting Department.
> Verify Invoices/Debit Notes from carriers, shipping lines, or suppliers, and summarize them for the Export Service Manager’s approval before sending them to Accounting for payment processing.
> Send Final Shipping Advice / Pre-alert notifications along with shipping documents and Debit Notes to partner companies.
> Verify and sign Customs Declaration Documents to ensure accuracy and completeness.
> Properly organize, compile, and archive all shipment documents in both Soft and Hard copies.
> Hand over the Job File to the department head to verify compliance with company policies.
> Summarize weekly uplifting reports and monthly reports for the department head.
> Ensure excellent customer service for cargo transportation from start to finish, and promptly inform/provide solutions to partners and customers in case of any changes.
> Build good relationships and cooperation with customers, suppliers, and partner companies to align with the company’s service standards.
> Participate in company meetings and training sessions as assigned.
> Be punctual for work and report to the department head in case of absence.
> Perform other duties assigned by management.
